Terms of Service

These Terms govern your use of WTNcloud (“the Service”), operated by WTNcloud (“we”, “us”). By creating an account or using any of our tools, you agree to these Terms in full.

1. The Service

WTNcloud is a SaaS platform for UK-registered commercial waste carriers and permitted waste receiving sites to create, sign, and manage Waste Transfer Notes (WTNs) and, where applicable, Digital Waste Tracking records. We also offer a free WTN Generator and EWC Code Lookup as guidance tools.

2. Eligibility & Acceptable Use

To open a paid account, you must be aged 18 or over, have authority to bind your business, and be either a UK-registered waste carrier (Environment Agency, NIEA, NRW, or SEPA) or the operator of a permitted waste receiving site. Use the Service only for lawful waste-carrier or waste-receiving activities. You must not resell access, create a carrier-mode WTN for a collection you did not personally carry out (this does not restrict producer-mode WTNs, where you hire and name a carrier who then carries out the collection), reverse-engineer the Service, or introduce malware.

3. Free WTNs & Free Tools

New accounts receive 20 free WTNs with no time limit. The Free WTN Generator and EWC Lookup are provided “as-is for guidance only” and do not include digital signatures — printed PDFs must be signed by hand to be legally valid.

The free allowance is one per waste carrier registration. If you open a second (or further) account using a waste carrier registration number that is already held by another account, that account does not receive the free allowance and must be on a paid plan (pay-as-you-go or a subscription) to create WTNs. If you believe this applies to you in error — for example you operate more than one business — contact [email protected].

4. Subscriptions & Billing

Subscriptions renew automatically until cancelled; access continues until the end of the current billing cycle. Fees are non-refundable except where required by law. Where you bought your subscription determines who bills you, how you cancel, and how price changes reach you.

Bought on wtncloud.co.uk. We bill you directly and you cancel in your account settings. Prices shown on the website exclude VAT. We may change these prices with 30 days’ notice.

Bought in the WTNcloud mobile app (Apple App Store or Google Play). Payment is charged to your store account on confirmation of purchase, and the subscription renews automatically until you cancel it. Manage or cancel it in your App Store or Google Play account settings — deleting the app, or cancelling inside WTNcloud, does not stop the store from billing you. Prices shown in the app are set per storefront and include any tax the store collects, so they will not match website prices. Any price change is notified to you by the store under its own rules, not by us.

Each store sets its own cancellation deadline. On the App Store, cancel at least 24 hours before the end of the current period. On Google Play, cancel before your renewal date; Google may place an authorisation hold on your payment method up to 48 hours before renewal, so cancel in good time.

Refunds for in-app purchases. Apple decides App Store refunds; we action any it approves. For Google Play we can issue refunds ourselves, so contact [email protected] and we will consider your request. Nothing here affects your statutory rights.

Pay As You Go credit works the same however you buy it, in the app or on the website: top-ups are one-off purchases that do not renew, credit does not expire, and it is not exchangeable for cash except where the law requires otherwise.

5. Your Responsibilities

You retain full legal responsibility for the accuracy of all data entered (waste types, EWC codes, quantities, signatures, etc.) and for ensuring your operations comply with the Environmental Protection Act 1990, the Waste (England and Wales) Regulations 2011, and other applicable UK laws. WTNcloud is a record-keeping tool — it does not guarantee regulatory compliance.

6. Data Ownership

You own all WTN records and customer data you upload. You grant us a limited licence to store, process, and display that data solely to provide the Service. You can export your data at any time from the dashboard.

7. SMS Notifications

If you enable SMS notifications, WTNcloud sends signing requests, reminders, and completion confirmations to your customers on your behalf. You warrant that you have obtained customer consent under the Privacy and Electronic Communications Regulations 2003 (PECR). Recipients may opt out by replying STOP. Delivery is best-effort.

8. Limitation of Liability

The Service is provided “as is”. To the fullest extent permitted by law, WTNcloud is not liable for regulatory fines, penalties, or enforcement action arising from inaccurate data you provide, nor for any indirect or consequential loss. Our total aggregate liability in any 12-month period is capped at the subscription fees you paid in that period. Nothing here limits liability for death, personal injury, fraud, or any other liability that cannot be limited by law.

9. Intellectual Property

The Service software, design, and branding are the exclusive property of WTNcloud. You receive a non-exclusive, non-transferable licence to use the Service during your active subscription.

10. Termination, Changes & Governing Law

Either party may terminate at any time. We may suspend accounts for breach or non-payment. On termination, you may request a data export within 30 days; WTN records may be retained where the law requires (see our Privacy Policy). We may update these Terms with 14 days’ notice. These Terms are governed by the laws of England and Wales and subject to the exclusive jurisdiction of its courts.
